The IRS taxes deposits, not invoices. Every 1099-NEC a client files should match credits in your statements. Gaps invite notices.
Cross-check quarterly. List each payer's 1099 total against statement credits from that payer. Chase missing forms before filing, not after.
Separate ruthlessly. Business income, transfers between own accounts, refunds, and personal money must sit in different buckets. Transfers counted as income overpay tax.
Track deductions monthly. Software, home office share, mileage logs, insurance, and professional fees. A Category column in converted Excel holds them all year.
Pay estimates from the same data. Quarterly income totals set each estimated payment. Convert statements monthly so January never starts from twelve PDFs.
